AGM 2023

2024

Minutes of AGM Thurs 17th August 2023

Whitby Conservative Club 19.30hrs

Apologies from Committee member Richard Deadman working, Scotland.

No word from Dave Ward.

In attendance members:-

Colin Stainthorpe
Denis Thompson

Committee:-

Paul Short
Dave Hambley
Jason Ebison
Bernard Vasey
William Atkinson
Dave Perrett
Peter Horbury

Poor attendance, just 9 members.

Last years minutes confirmed as true.

1 - Chairman’s report.

William Atkinson thank the officials for the smooth running of the Club, and confirmed £500 sponsorship of the Open by Wilf Nobles - many thanks from all.

2 - Secretary’s report.

Good evening all and thank you for attending please do not carry out across the room private conversations, and please address the Chairman when you wish to speak.

Since the Presentation evening the Committee have met twice, in April & July.

A - After the season had closed Jason Ebison and myself did some research, and visited a number of establishments to find an alternative to The Fleece, as a venue for our annual Open match because there had been many complaints.

When this list was completed a committee meeting was called 26th April 2023, and these findings were discussed, it was unanimously agreed we would try Whitby Rifle Club.  It is booked and confirmed.

In order to speed-up the Open evening, a number of other scenarios were discussed, and agreed.

Neither Bernard Vasey, nor Jason Ebison fish the match, and very kindly volunteered to set up the venue with both the Open prize table and the raffle prize tables, having collected them from Dave Perrett’s house.

After which they would be manning the weigh-in.

This would free-up Dave Perrett to enable him to crunch the numbers for the prize table.

Saving more time, there will be no food, unless decided on at the Open meeting in October.

It was requested, and agreed the Open poster would display a First Place prize only, enabling Dave Perrett, Treasurer to issue prizes at his digression according to the available prize fund.

Also agreed that the Secretary could call further Committee meetings should he deem it necessary, and further regular meetings would be held so as to keep the Committee informed both ‘in & out’ of season.

It was also agreed that the Committee would meet in January to discuss Presentation evening venues and menus as many had boycotted Dunsley Hall due to the menu.

B - Wed 12th July 2023

Committee Members meeting minutes to be bulleted from now on - Carried.

AGM 17th Aug 2023 to stay at Conservative Club, as room already booked, thereafter back to Rifle Club - Carried.

New Membership Forms - to be altered.  Remove the Proposer & Seconder boxes, and insert extra wording after ‘probation’ (1st 9 matches fished, after which the Committee will re-assess).  - Carried.

Change of Rules - Rule 27 closure of membership 31st October - abolished - Carried.

Upon receipt of Membership request forms, internet or otherwise - Secretary to contact each individual Committee member for approval.  Should any Committee member raise a Red Flag, then the Secretary shall call a meeting to discuss that membership request - Carried.

Re streamlining of AGM agenda - yes there is a lot set in stone but, No, it still needs to be read out - Carried.
Any Other Business discussed

The Christmas match Sun 17th December 2023 clashes with Jamie Richardson memorial match - Should the Committee decide on keeping the date?  Thereby letting the WSAA membership decide on which match to fish, or await the AGM for a decision.  Await AGM - Carried.

Rifle Club booked for Open, as already mentioned.  Question re food - should the WSAA invite an independent street food seller so anglers can purchase hot food/drinks?  To be discussed again at the Open meeting in October.

A trial, with there being no food provided, for our first visit to the Rifle Club Peter Horbury would not have time to crunch the numbers & he suggested just using the ticket receipts, a paper list of winners.  Tickets, once sorted, to be stapled in ‘fives’ (just in case they are dropped) - Carried.

Prize presentation would still start at 4th Place - Carried.

Superpool to be reduced to £3, with pay out on top two Heaviest Fish (and not top three like 2023) 2/3rds 1/3rd prize pool division - Carried.

Davey Turnbull’s March winnings on Monthly Sweeps given to Treasurer Dave Perrett to sponsor ‘Last Place’ in the Open £30.00. - Many thanks.

C - This morning 17/08/2023 James Jamsy Moore confirmed to me by WhatsApp he would continue to support our annual Open, and the Dedicated Official Trophy - I thanked him.  And Steve Ingleston would be joining.

D - The Open is confirmed as a Penn Points match.

E - There has been no word from Dave Ward, so I think we can agree he has forfeited his position as a Committee member.

3 - Treasurers report.

C - Christmas match payment.

Jason Ebison 18th Jan 2023 - wanted members to pay for the Christmas match 2 weeks prior to the date because it had been a farce trying to get commitment and payment.

A lot of discussion, it is a ‘Catch 22’ situation - you cannot book a venue until you know who is going to fish, but you cannot answer the questions re the food or venue until you know the numbers and can book a venue!!

Denis Thompson ask the question, re the Christmas match date, why can it not be fished on the 10th December?

This would enable members to fish both the Christmas match & the Jamie Richardson memorial match.

Cloughton Open was confirmed as 3rd December 2023.

Proposed Christmas match be fish Sunday 10th December.

F - Sunday League Jason Ebison 6th Feb 2023

Sunday League - No sponsor - No one does scratch card which is supposed to cover costs, so scrap league or get a sponsor or someone runs domino cards as Club cannot continue to fork out.

Not enough members are socialising after the match which is very poor.

With there being no sponsor, after discussion, it was proposed there be no ‘cash prizes’, just the trophies.

G - Sandsend trophy

Dave Perrett informed the meeting that the donated ‘lump sum’ was reducing, now £450.  Should we reduce the prize to £25 to eke out the funds, or leave it at £50 [giving it 9yrs to run].

Proposed to stay the same and run its course.

H - Peter Horbury asked each individual if they had any other business, as he had one last item to discuss.  All agreed they had had their say.

Peter Horbury asked the question - What happens to the WSAA funds should the Club fold in the future?

A very valid question replied a few members, a good one.

No one wanted the funds to be split amongst the membership, but all heartedly spoke of donations to a charity.

After some very good thoughts and ideas for charities, a proposal was drafted for future Committee members should the Club fold.

Dave Hambley proposed that the WSAA funds go to charity, the wishes of the current Committee [2023 - 2023] instruct the Committee of the day to decide which charity the Club funds go to.

Christmas Match
Sunday 15th Janaury 2023

Dave Perrett is of the opinion, due to there being no sponsor for the members christmas match, that WSAA revert back to the Rule “Heaviest Fish to take preference in the event of having Heaviest Bag and Heaviest Fish.  2nd Heaviest bag takes Heaviest Bag.  Day Matches inc. Bell Trophy.”

E) Christmas Match -

Confirmed 22nd December 2013 (this is also the last match of 2013).
Fishing 2 pm to 7 pm with weigh in until 8 pm.
Food was discussed and a plan was put forward that Mrs P Pitman & B Laws to do food if allowed by the Fleece.

Once again this is dependent on who the landlords are at the time.  To be confirmed.

Match entry fee to stay the same at £10 proposed by J Gilpin seconded by A Cass.  Carried.

Due to the kind sponsorship of £100 for the Christmas Match by Hook Line and Sinker, members Mrs P Pitman & M Pitman, N Inglis proposed seconded by J Gilpin:- that the prize fund be

Heaviest Bag match:-

1st - £50
2nd - £30
3rd - £20

And £25 for Heaviest Fish.

B Vasey reminded the meeting that the Christmas Match is a Heaviest Bag Match.

Secretary P Horbury asked for confirmation, as this proposal was breaking with tradition in that the winner in years gone by (Heaviest Bag) could not also win the Heaviest Fish prize money.  As the prize fund of £50 was split 50/50 between HB & HF.

D Perrett read a note from the ledger:-

“Heaviest Fish to take preference in the event of having Heaviest Bag and Heaviest Fish.  2nd Heaviest bag takes Heaviest Bag.  Day Matches inc. Bell Trophy.”

N Inglis confirmed his proposal seconded again by J Gilpin. Carried.

Ticket price £10 to stay same proposed R Allison seconded D Perrett.  Carried

The remainder of the cash receipts from ticket sales would as normal buy the prizes to continue the tradition that no one goes home without a prize whether they caught a fish or not (and raffle prizes).

Wednesday 18th January 2023

Jason Ebison is proposing 'entry & payment' for the Christmas match is 2 weeks prior.

Monday 6th February 2023

Sunday League - No sponsor - No one does scratch card which is supposed to cover costs, so scrap league or get a sponsor or someone runs domino cards as Club cannot continue to fork out.
