Peter Horbury started by thanking all for attending The Jack & Jill Coaching Inn, Scaling Dam, including Rich Deadman on speaker phone [propped in the window for best reception].
Going on to explain why he had convened this meeting on Presentation evening, as requested by members and committee members alike, to discuss the up and coming 2023 Open presentation venue, Sun 19th Nov 2023.
As they say, don’t shoot the messenger, but it’s the secretary’s job to keep the Committee informed and call a meeting when required.
There had been too many complaints to ignore about last year’s presentation at The Fleece to ignore, and the reputation of WSAA was at stake, it was a farce, as we were very poor hosts caught out by the popularity of The Fleece!
The Club needs to move forward and adapt, and adopt other clubs hosting venues.
The Fleece was already overcrowded when anglers started to arrive after 16.00hrs with Simon [barman] telling Peter Horbury ‘they were panicking as to where they [The Fleece] were going to put us.
There were numerous complaints over the lack of parking on Church St.
Whitby, in winter, is no longer a sleepy seaside fishing town, it’s a 24/7 tourist hotspot, whatever the weather.
The Fleece was full of revellers, and two parties in particular disrupted proceedings, staff-do’s from local businesses - Botham’s and Billy Wilson’s.
Peter explained that his wife, who was selling raffle tickets, had heard all the complaints from parking, overcrowding, and questions as to what was in the raffle.
Going on to say she sold no raffle tickets to members of the public, just anglers supporting WSAA.
The evening’s presentation by WSAA Secretary Peter Horbury drew more complaints, despite requests for revellers to be quiet, his presentation could not be heard.
Peter Horbury went on to ‘try’ and explain that here we were in April, with the Open months away in November, now was the time for the Committee to discuss a new venue. This suggestion ‘did not’ go down well with some!!
Peter continued [when allowed] waiting for the AGM in August would be too late to discuss, make enquiries, discuss further and finally try and book.
Peter went on to explain that he, with the help of Jason Ebison, over two evenings, had visited and spoken to various local venue owners for quotes on room hire & possibly food catering.
Explaining that they had compiled a list of the same questions to ask each venue, so as to produce an informed choice for said meeting.
[If this meeting had gone ahead without said homework, it would have meant more delay when information was req’d for another meeting. So pre-empting this Jason & Peter had already done so and made their pitch.]
Producing a spreadsheet of their findings and conclusions. [Included was a visit to a local venue that was still under construction].
Dave Perrett refused to ask The Fleece for their sponsorship, and was told no-one was asking him to do so if we vote to go elsewhere.
Dave Hambley questioned the Treasurer, Dave Perrett, at length as to the costs of a season and the intake and outgoings for holding an Open match.
Dave Hambley went on to say ‘no one Committee’ member runs WSAA, it is a democracy, everyone has their part to play, and it is a joint decision as to where we hold the presentation.
Rich Deadman agreed we try a new venue, and if it doesn’t work we try somewhere else. Also saying as for food, he's on another local Club Committee and they invite local food stall(s) holders to pitch-up for free & say it’s all yours.
Peter Horbury went onto remind Dave Perrett & Paul Short that Colin Stainthorpe had also made them aware of complaints, and in particular as to why we start our presentation at 4th Place [1st, 2nd & 3rd are special Placed prizes].
During the debate Jason Ebison, using his official ‘doorman’ knowledge made it known that if the Fleece had been raided by the Licencing Authority they would have received a big fine for overcrowding, and if they had had doormen on, then it was possible a lot of the anglers & Committee might not have gained entry!
And then the Open would have been a total disaster.
After some ‘very heated’ conversation, Committee members had had their individual say, and once all the information was digested, Whitby Rifle Club was the unanimous winner.
Peter Horbury was asked to confirm the provisional booking and let the other venues know their offers were unsuccessful.
It was also agreed:-
Jason Ebison & Bernard Vasey would gather the raffle prizes [Dave Hambley offered to assist & compile].
They also offered, and agreed by/with Dave Perrett, to collect the ‘main table prizes’ from his home on the day.
They, would then set up two tables with said prizes, in the Whitby Rifle Club prior to opening the weigh-in station at 16.30hrs, so relieving Dave Perrett of having to go home and collect all the ‘table prizes’ and delaying proceedings.
William Atkinson asked that the Open poster displayed 1st Place prize only, and not commit to 2nd & 3rd Places. Agreed.
Raffle prizes were also discussed as it had been noted that some members had not contributed, as detailed by raffle prize co-ordinator Bernard Vasey, also listed on the web site. A minimum ‘spend’ was also discussed. To be addressed.
Dave Hambley suggested a ‘butcher’s breakfast plater’ and offered to supply.
The AGM is in Thursday 17th August 2023, Whitby Conservative Club, 19.30hrs, with an Open meeting in October.
It was agreed Peter could call another meeting before this to give an update should it be req'd.
It was also agreed to hold similar meetings in future after the presentation evening specifically for the Open venue, as this is to be a trial.
Also agreed was to hold a Committee meeting in January to discuss Presentation evening venues and menus as many had boycotted Dunsley Hall due to the menu and venue.
